Front Desk Administrative Assistants

We’re currently seeking two Part-Time Front Desk Administrative Assistants – one to join our team in Fairhope, Alabama and a second in Mobile, Alabama. The ideal candidate will be detail-oriented, organized, and professional, with excellent communication skills. In this role, you will create a welcoming and professional environment by serving as the first point of contact for our clients and guests. You will also provide essential support to our accounting team by handling basic bookkeeping tasks and assisting with client projects.

While training will be provided, we’re looking for someone who is technologically savvy, can confidently manage a variety of tasks, and will thrive in a fast-paced office setting. If you’re someone who enjoys multitasking, problem-solving, and contributing to the success of a growing team, we’d love to hear from you!

The hours needed are 25-30/week and your days and hours per day are flexible.

  • Greet and assist clients, ensuring a friendly and welcoming atmosphere.
  • Answer and direct phone calls, take messages, and respond to basic inquiries.
  • Use firm-specific software to manage client information, scan and upload documents, and maintain accurate records.
  • Assemble tax returns and financial statements accurately and efficiently.
  • Contact clients to request missing information and notify them when documents or completed work are ready for pickup.
  • Schedule meetings between clients and firm staff or shareholders.
  • Assist with completing basic bookkeeping tasks in accounting-specific software (we will provide training).
  • 3+ years of experience in an administrative role.
  • Excellent written and verbal communication skills.
  • Enjoys working with clients and consistently represents the company with a professional and positive demeanor.
  • Demonstrates the ability to manage a high volume of tasks efficiently and responds to time-sensitive situations with urgency and accuracy.
  • Maintains a high level of discretion and professionalism when handling confidential information.
  • Flexible team player, willing to adapt to changes and unafraid of challenges.
  • Proactive problem solver.
  • Basic bookkeeping experience is preferred, but is not required.
