Now Hiring an Executive Assistant

Avizo Group, Inc. is accepting applications for an Executive Assistant. This position will report to both our Foley and Fairhope, Alabama office locations. The primary objective of the Executive Assistant will be to support our Executive Team, with a primary focus in assisting our Principal to ensure the daily operations run efficiently. A successful candidate will be someone who is extremely organized, is technologically savvy, can work in a fast-paced environment, and has stellar interpersonal communication skills.

Responsibilities:

  • Calendar management: coordinate scheduling meetings, community and professional events, and relay daily and weekly agendas for the Executive Team.
  • Communication Management: manage email communication, mail, and phone calls.
  • Information Management: provide administrative and office support, such as typing, spreadsheet creation, and client information database.
  • Project Tracking: maintain and communicate a weekly report tracking of client work.
  • Document Preparation: assist with repetitive client documentation including paying client bills, sending invoices, downloading bank statements, and contacting clients weekly and monthly.
  • Professionalism: maintain professionalism and strict confidentiality with all materials.
  • Travel: be able to travel between offices in Fairhope and Foley, Alabama – no night or weekend work will be required. 

Qualifications:

  • 3 years of experience in an administrative role.
  • Excellent written and verbal communication skills.
  • Strong time-management skills and an ability to organize and coordinate multiple concurrent projects.
  • Advanced experience with Microsoft Office products and an aptitude for learning new software and systems.
  • Flexible team player, willing to adapt to changes and unafraid of challenges.
  • Ability to maintain confidentiality of information related to the company and its employees.
  • Proactive problem solver.
  • Basic bookkeeping experience would be preferred, but is not required.
